Invite them from Team in your SourceMedium workspace and pick a role. That gets them the workspace, the warehouse, and your configuration sheets. The dashboard is one more step. Your Looker Studio report lives in the Google account of whoever set it up, so that person shares it from Looker Studio.

Invite someone

Open Team, enter their work email, and choose a role. Editors can invite Editors and Viewers. Only an Admin can invite another Admin, change someone’s role, or remove them.

What they get

Once they accept:
  • The workspace. They can sign in and see your organization.
  • BigQuery. Query access, if your organization has a warehouse.
  • Configuration sheets. Viewers can read them. Editors and Admins can edit them.
This happens in the background, so the workspace can open for them a little before the rest does. Dashboards are not on that list. A Looker Studio report belongs to the Google account that set it up, not to SourceMedium, so a new teammate does not get it automatically.

Share the dashboard

Find out who set the dashboard up. The Access your data section of your workspace names them. That person opens the report in Looker Studio, clicks Share, and adds your teammate’s work email as a Viewer. If you would rather not do this one person at a time, share the report with a Google Group once and manage the group instead. The Google Groups guide covers that. You do not need a group to join a SourceMedium workspace, only to share things your team owns.

If you cannot get in

Sign in with your work email. If SourceMedium already set your access up, you do not need to wait for an invitation. Having a dashboard shared with your Google account is not the same as being in the workspace. If you sign in and the workspace is not there, ask your Admin which email they used before you create a second account. Tell them if your address or your company domain changed, because an old address and a new one are two different people as far as access goes. If you were sent an invitation, use the address it went to and follow Accept a team invitation.

A dashboard or sheet says you do not have access

You are in the workspace, but Looker Studio or Sheets turns you away. Usually it is the wrong Google account.
  1. Check which Google account is signed in. It should be the one your SourceMedium access uses, not a personal account left open in another tab.
  2. Open the report or sheet from your workspace rather than an old bookmark or a forwarded link.
  3. If you just joined or your role changed, give it a moment and try again. Ask your Admin to confirm you are in and at the role you expected.
  4. For a dashboard specifically, check that whoever owns the report has shared it with you. SourceMedium does not share it for them.
  5. Still stuck? Contact support with your work email, your organization, the link, the error you see, and when you joined. Never send a password or an access token.
If the dashboard opens but the charts are empty, that is a different problem: the report’s data source, not your invitation. Say so when you write in, rather than sending the invitation again.

When someone leaves

An Admin removes them from Team, which takes away the workspace, the warehouse, and the configuration sheets. The dashboard is not included: whoever owns the report has to remove them in Looker Studio. Check any Google Groups you run yourselves too. If you are not sure what someone can still open, ask us.
